Budget
Creating a budget for your event should be one of the first steps in your planning process and will play a big part in your venue selection. A large portion of your budget will go towards the venue and the security deposit, but not so much that the other aspects of the event, like decorations and food, are lacking. Some venues are strictly an event location, while others have it all– including an event coordinator, entertainment, and a caterer.
Location
While a lot of students will take party buses and limos to the event, some may choose to drive themselves, so make it easily accessible to all. You should try to choose a location for your school formal that is relatively central for most of your guests, but not so close to your school that it feels like they’re just going to their everyday campus.
Size
Your venue choices should be able to tell you how many people will comfortably fit in the space, so make sure you give them the most accurate number possible to ensure that there’s enough room for everyone to move around with ease. Since there will undoubtedly be lots of dancing, make sure that the dance floor is big enough for your students. Many venues have various dance floor sizes to choose from, so take that into account in your selection as well.
Amenities
There are some amenities you should look for in your venue that will make things easy for chaperones. The venue should be in a safe neighborhood and preferably, if your location is also hosting other parties that may have alcohol, try to request that the venue takes measures to ensure that there will be distance between the events. Bathrooms that are convenient and close to your event space will also be helpful to chaperones trying to keep an eye on the teenagers.
Availability and Requirements
Some venues have a list of providers they use and require that you only choose from that list– this may include caterers, photographers, DJs, and other entertainment. Be sure to check with each venue about requirements like this to avoid any issues that may stem from this in the planning process.
